You are at the store picking up supplies for your jobsite. You have drafted a PO and provided the PO number to the cashier. You have received a receipt and you're ready to send your PO to accounting.


! The supplier must be available from your In-Store Purchase List for this feature to work.


Steps in In-Store PO workflow:

Create an In-Store PO > Complete In-Store PO > Receive Order

 

 

 

How to complete your In-Store PO

Are you looking for your draft PO? Find your draft PO in the Orders or My Orders page.

If you are coming here from the Orders screen, start from step 2. 

 

  1. Tap Add Receipt and take a picture of your receipt (for Accounting).
    • If you won't have this until later, tap "Enter cost codes without receipt."
    • At this time, there is no way to upload an existing photo or another document - but we are planning to develop that feature soon!
  2.  On the Attach Receipt screen, the "Enter cost code without receipt" link and the "Attach Receipt" button is displayed. 
  1. On the "Subtotal & Cost Code" screen, enter the Order Subtotal and Cost Code.
    Here you can upload your receipt if you didn't have a chance to before.
     
    On the "Subtotal & Cost Code" screen, the Receipts button, and Order Subtotal and Cost Code fields are displayed. 
  2. Tap Send and Complete.
    This will email the PO to your project team & accounting.
     
    On the "Subtotal & Cost Code" screen, the "Send and Complete" button is displayed. 
  3. PO sent! Tap Home to return to your dashboard.
     
    On the "PO Complete" screen, the "Home" button is displayed.

Tips and tricks for success

  • Create your draft PO in advance or while waiting in line - you only need to select your project and supplier to create one!
     
  • If you need to add another store to your In-Store Purchase List, reach out to your QTM Administrator. They will be able to add new suppliers for you.

  • If you leave the price field empty, the system will send you a notification once a day to make sure all your purchases are accounted for.
     
  • This feature does not flow through the approval matrix: Since the PO number is issued before the price is known, purchasing limits are not enforced for this feature.
    This means if your In-Store PO exceeds your purchasing limit, your PO Approver will only receive a notification once the PO has been reconciled. It is for this reason that this feature may not be approved for your company, or why specific suppliers are excluded from this list.
